Administration handled,so teaching gets the time.

Applications read and checked, parents answered in their language, timetables that rebuild themselves, first-pass marking the teacher finalises, and fees and payroll on one record.

Teachers spend their evenings on work that is not teaching.

THE PROBLEM

Admissions season is a pile of applications, documents and fee receipts checked by hand. Parents ring the office with the same questions. The timetable takes weeks to build and breaks the first time a teacher is absent. Marking and feedback are done at home. Fees are reconciled from the bank statement, and staff payroll is assembled from spreadsheets at the end of the month.

HOW SOLONOMOUS DOES IT

We automate the administration around learning and keep the teacher in charge of what is learnt. Applications and documents are read and checked, and the committee receives a complete shortlist. An assistant answers enquiries by phone and message in the languages your families speak. The timetable is generated from constraints and rebuilt for absences. Objective items are marked and written work given a first-pass rubric score and draft feedback the teacher edits. Fees, staff records and payroll live on one record.

WHAT YOU GET

Admissions run to a schedule rather than a scramble. The office answers fewer calls. Timetables change without a week of work. Teachers return marking sooner and spend the time saved on the students who need it. Every automated action is logged, and any decision about a student is a person's.

Workflows

What we automate here.

7 workflows

  1. 01

    Admissions

    TODAY

Applications, certificates, identity documents and fee receipts arrive on paper and by email and are checked and keyed by the office. Applicants ring to ask where they stand.

    AUTOMATED

Applications and documents are read and checked for completeness against your criteria, applicants are kept informed of their status, and the committee receives a complete, comparable shortlist. Admission decisions stay with the committee.

  2. 02

    Enquiries from families

    TODAY

Parents and applicants ring the office with questions about fees, dates, documents and transport, and the office answers the same questions all day.

    AUTOMATED

An assistant answers from your own prospectus, calendar and policies by phone, chat and message, in the languages your families speak. Anything about an individual student is handed to a staff member.

  3. 03

    Timetabling and cover

    TODAY

The timetable is built over weeks in a spreadsheet from rooms, teachers and subjects. An absence means a morning of rearranging and a message to every class.

    AUTOMATED

The timetable is generated from rooms, staff, subjects and the constraints you set, and cover is re-planned when an absence is recorded. Changes are published to staff and students from one place.

  4. 04

    Assessment support

    TODAY

Teachers mark objective tests by hand and write feedback on written work at home, often days after it was submitted.

    AUTOMATED

Objective items are marked on submission. Written work is given a first-pass score against the teacher's rubric and a draft of feedback; the teacher reviews, edits and releases it. No grade reaches a student without a teacher's sign-off.

  5. 05

    Fees and reconciliation

    TODAY

Fee schedules are kept in spreadsheets, receipts are matched to students from the bank statement, and reminders are sent by hand.

    AUTOMATED

Invoices are raised from the fee schedule, payments are matched to students as they arrive, and reminders go out on the schedule you set. Concessions and instalment plans are recorded on the student's account.

  6. 06

    Staff records and payroll

    TODAY

Staff contracts, leave and attendance are tracked in separate files, and payroll inputs are gathered from all of them at month end.

    AUTOMATED

Contracts, leave and attendance live on one employee record, and the payroll run reads them without re-entry. Statutory filings are prepared from the same record.

  7. 07

    Policy and handbook questions

    TODAY

Staff and student handbooks, examination regulations and policies are documents nobody reads until something goes wrong.

    AUTOMATED

An assistant answers staff and student questions from your own handbooks and regulations, with the source paragraph attached, and does not answer from anything outside them.

Engagement

How it starts in a school or college

We start in the office, and we start with the administration, not the classroom.

  1. 01

    Map one year

We follow an applicant from enquiry to enrolment and a term from timetable to report, listing every form, call and spreadsheet the office and the staff touch.

  2. 02

    Agree the boundaries

With your leadership we set what the systems may do on their own, what a teacher or committee must decide, how guardians consent and where student data lives.

  3. 03

    Run one office in shadow

The automation runs beside admissions or the fees desk for a term. Outputs are reviewed against what staff did and the rules are tuned.

  4. 04

    Hand over, or keep running

Your office and IT staff take it on with the runbooks and code, or we run it under your keys. Reports read from the same record either way.

Questions

Asked before we start.

Does a system decide who is admitted or what grade a student gets?

No. Admissions receive a complete, comparable shortlist and decide. Marking produces a first pass against the teacher's rubric that the teacher edits and releases. Nothing reaches a student or a family without a person's sign-off.

How is student data protected?

It stays in your own cloud region or on your premises under your keys, with guardian consent recorded for minors. Nothing is used to train models shared with anyone else, and every access is logged.

Can the assessment model be checked for bias?

Yes, and it is before it is used. It is evaluated against marked work from your own teachers, across the groups you name, and the results are written up for you. The evaluation reruns each term and a drop pauses the first-pass marking.

Will parents know they are talking to an assistant?

Yes. It introduces itself as one, answers from your own documents and calendar, and hands anything about an individual student to a staff member with the conversation attached.

We are a small institution. Is this only for large ones?

No. An engagement starts with one workflow, usually enquiries or fees, and grows only if it is worth it. The SoloOne suite can carry fees, staff records and payroll for an institution with no system of its own.
